Calendar Overview

The Calendar has three different views, 'Daily', 'Weekly', and 'Monthly'. You can change the view at any time using the settings button in the bottom right-hand side of the calendar. From this menu you can also select an individual team member, to view only their appointments.

By default, the calendar will always show today. If you are viewing the calendar in the 'Weekly' view then it will show the current week, starting at Monday. Using the calendar settings button, you can filter the calendar by team member. This means that, for example, you can look at the entire week for a single staff member.

To change the date, use the box above the calendar, and select the date you want from the overlay. In the overlay, the blue triangle indicates the current date.

Re-Schedule & Re-Book Mode

After clicking or tapping on an appointment in the calendar, you have the option to 'Re-Schedule' or 'Re-Book'. The first option allows you to pick a new date, time and staff member for an existing appointment. After selecting this option an indicator will display in the bottom left-hand side of the calendar, to let you know that you have successfully entered 'Re-Schedule' mode. Now you can select an empty space by clicking or tapping, and once confirmed, the original appointment will now exist where you tapped.

'Re-Book' mode works in a similar way, once selected, the indicator will appear in the bottom-right hand side of the calendar, to let you know that you have entered 'Re-Book' mode. This time, rather than moving an existing appointment, the empty space that you tap or click on will create a copy of the original appointment. This is particularly useful for when you have a client that wants to create multiple of the same booking, or to quickly book a client in again.

Calendar Appointment Card

The appointment card in the calendar shows you the start and finish time, the name of the client and the service allocated for this time slot. The colour can be unique to the staff member, and can be changed at any time in the 'Staff Settings'.

An appointment card can also contain small indicators that allow you, at a glance, to see some crucial information about the booking. A blue '£' indicates that the booking has been paid for online, alternatively a red '£' indicates that the appointment was paid for and subsequently refunded. It is less likely that you will see a red indicator on the appointment because typically this means that the appointment has been cancelled by the team.

A green tick indicates that the appointment has been confirmed by the client. Confirmations are an optional feature for teams. They require the client to manually confirm that they will attend the appointment 24 hours beforehand.

Alternatively, if the client has indicated that they cannot attend the appointment, a red question mark will be displayed. To encourage attendance a client cannot cancel an appointment without contacting you manually. This is a deliberate design choice. They can however re-schedule the appointment themselves, using the built-in online booking system. Hopefully the client will re-schedule themselves, or contact you directly to re-schedule rather than cancel outright. The indicator allows you the opportunity to monitor the appointment, and if necessary contact the client directly to clear up the situation.
